GUIDELINES AND PROCEDURES

Participation:

  • All full time, part-time or temporary employees are encouraged to submit suggestions.

Incentives:

  • Employees whose suggestions are adopted will receive a Gift Certificate and recognition in college publications and at a campus event

Submission:

  • Employees may use the electronic form on the college's web page or use the submission form available in Human Resources.

Information and Assistance:

  • The Human Resources Department (ext. 2262) will be happy to answer questions or provide additional information about our Employee Suggestion Program

Eligible Suggestions:

  • May be submitted by an individual employee or a group of employees who wish to submit a suggestion together using the same form

  • Must detail the specific recommendation and how it can be implemented

Suggestions cannot be considered if they:

  • Are within the employee's authority or responsibility to implement

  • A duplicate of a suggestion already being considered or one that has been considered

  • Include no solution or recommendation for improvement

  • Concern a personal grievance/complaint

  • Deal with a salary issue or individual personnel matter

  • Are frivolous or malicious

Administration of the Program:

  • The Human Resources Department will serve as the Administrator of the Roanoke College Employee Suggestion Program and will receive and acknowledge suggestions and review submissions for completeness.  

  • The HR Director will appoint a Suggestion Review Committee consisting of two staff members and one faculty member from a pool of faculty members to be identified and from the all-staff steering committee membership.  The review committee will vary and its composition will depend on the suggestions submitted and expertise needed.

  •  The Suggestion Review Committee will evaluate the merit of suggestions received, forward suggestions to the appropriate individual or department for evaluation, track status, provide timely feedback to the employees submitting suggestions, and make the final determination regarding suggestions received including the amount of the incentive award.  Suggestions determined to be beneficial but that cause the college to incur an expense will be forwarded to Cabinet for final approval.

  • Evaluation of a suggestion should be completed as soon as possible and must be completed within 30 days of receipt by the evaluating individual or department.

  • Every effort will be made to complete the final determination within 45 days of receipt of the suggestion.

  • The Director of Human Resources will serve as an ex-officio member of the review committee.

  • Meetings of the Suggestion Review Committee will be convened by the Director of Human Resources.  The frequency will be determined by the number of suggestions received.

Communications:

  • The Employee Suggestion Program will be promoted by announcements and reminders in the Events and Announcement Web Communication for employees, the E-News newsletter for Faculty and Staff, the Benefits at Work newsletter, periodic ads in the Brackety-Ack, and reminders at the monthly All Staff meeting.

  • With employee approval, adoption of suggestions will be communicated to the campus community through articles in the Brackety-Ack, announcements in the Events and Announcement Daily Web Communication for employees, and acknowledgement at the annual Holiday dinner in December.
