Reserves Instructions for Faculty
You will find
information below for placing materials on
Course Reserves at Fintel Library.

Deadlines for copyright permissions and processing
time
for placing items on Reserve
For materials
not requiring copyright permission, allow two weeks lead time during
the first four weeks of semesters . Otherwise, a minimum of 72
hours is required to process materials.
Items submitted
on Friday are processed the following week, i.e. students will not
have access to them over the weekend.
Materials can
be processed faster when you submit them between 8:00 a.m. and 4:30
p.m. Monday through Friday so we can discuss any questions or comments
you might have.

1 - For
Spring semester items needing copyright permission
March 1 - For May/IL/Summer I & II terms items
needing copyright permission
Checklist for placing books, videos, CDs,
and other non-photocopied items on Reserve
___ Bring all
library, departmental, or personal items to the Lending Services
Desk.
___ Bring with
the items a completed Reserve form (Microsoft
Word required). Only one form per course is required for non-photocopied
items.
___ Agree that
personal or departmental copies can be barcoded
on the front cover. Please remove book jackets unless they are essential.
Fintel Library cannot accept responsibility for damaged or lost
items.
Checklist for E-Reserves and photocopied items
Please
note: Beginning with
the Fall 2005 semester, we will be providing a new service to faculty
using E-Reserves. We are now able to link E-Reserve chapters/articles
to Blackboard course records. We will continue to link E-Reserve chapters/articles
to the online library catalog course record for
faculty who do not wish to use their Blackboard course records for
E-Reserves.
Additional information will be provided to faculty
who choose the Blackboard method.
For faster processing
faculty should use student assistants or departmental secretaries
for the pre-processing tasks below. The library keeps on hand a
supply of folders if supplies are not readily available in department
offices.
___ Read the
Course Reserves Copyright
Guidelines first.
___ Submit a
completed Reserve form
(Microsoft Word required) for each item.
If you are using E-Reserves, be sure to indicate on the
form if you prefer to have the item linked to your Blackboard course
record OR to your online library catalog
course record.
___ Provide
a manila (or other appropriate) folder for each reading. Each folder
should be labeled with:
___ your last
name.
___ the course number (e.g. ENGL217).
___ the author/editor's last name.
___ a brief title that must match the course syllabus title.
___ Include
a photocopy of the copyright information page from your source.
We cannot legally place the item
on Reserve without it.
___ Readings with more than 50 pages (pieces of
paper), double-sided, or legal-sized copies, cannot be scanned but
will be made available for checkout at the Lending Services Desk.
___ Submit the
reading as a photocopy, as an MS Word document on a floppy disc,
or as an email attachment sent to: reserves@roanoke.edu.
___ When submitting
a photocopy provide one clean, single-sided, unstapled (paper clips
are okay), 8½” x 11” photocopy.
___ The photocopied
page must have a ½“ margin on all sides to avoid missing
text from the edges of the scanned pages.
___ Number each photocopied page.
Removal of Reserve materials Readings
cannot remain on Reserve more than one semester without copyright
permission. Removing materials also makes room for the next term’s
materials. A Web Announcement is submitted at the end of each semester
to remind you to retrieve your Reserve items.
We also send, via e-mail, usage reports indicating how many
times each Reserve reading, both paper and E-Reserves, was used.
Steps to access Course Record and online
catalog E-Reserve readings
You must have
Adobe Acrobat to access
the readings.
To review the
list of items on Reserve for your courses, follow either of these
procedures:
From here, you
or your students can access your E-Reserves materials:
- Select the specific reading. The title will be preceded
by “Print or View” and the box on the right will indicate
“ELECTRONIC COPY AVAILABLE”.
- Key your first and last name, your Roanoke College ID
number (it's on the front of your College ID card), and the password
(provided to the professor after the E-Reserve reading has been
processed).
- You can now view or print the reading.
- When printing, use Adobe's print icon and not the browser's.

your students have any difficulties accessing E-Reserves.
