The meeting convened at 10:30 a.m.
Following very brief rejoicing for the start of the academic year, Greg reported on the following self-study work accomplished over the summer:
(1) Creation of the Institutional Effectiveness Office which will serve as the home base for self-study work and assessment work. Copies of the three previous Roanoke College Self-Studies, recent alternate model self-studies done at Chowan, Furman, Richmond, Texas Lutheran, Virginia Tech, and Wake Forest, and the documentation bins are now available in the office.
(2) Creation of an R.C. Institutional Effectiveness Web Page. The page includes such items at the committee structure, charges, and rosters; the Self-Study Plan; and minutes of all self-study committee meeting minutes. When this is connected to the College home page, it will serve as an information repository throughout the self-study process.
(3) Creation of a committee mailing list with the user name mail_comply.
(4) Individual meetings with the staffs of all five administrative divisions in which Greg described SACS and the reaccreditation process, the alternate model self-study, the organizational structure for the self-study, and the self-study timetable.
(5) Work on institutional effectiveness with administrative units and academic departments and programs.
The committee discussed several issues related to individual investigation, reporting, and documentation. The following points were agreed upon:
(1) The Roanoke College Compliance Audit Report will closely follow the organizational format of the report done at the University of Richmond. Committee members should use this same format in submitting work to Greg.
(2) Individuals should submit their completed reports (using the four categories in the Richmond document) in straightforward text fashion in either Word or WordPerfect, as an attachment or on disk. Greg will add composition features in writing the final report. Documentation should be submitted to Greg with the individual report.
(3) The goal is to have all or almost all of the investigation, individual reports, and documentation completed by the end of fall semester.
(4) When all reports are in, (a) Greg will write a draft of the final document, (b) the committee will review all of the sections ad seriatum to ensure that we have a clear statement and appropriate documentation, and (c) Greg will revise the document as necessary. Individual committee members should think in very critical terms in assessing our compliance, that is, be absolutely sure that we are in compliance. If areas of noncompliance are discovered, members should bring those to the attention of Greg (immediately) and to the committee. A pilot run of the process will be scheduled when the first committee member has completed her or his work.
(5) The Richmond Final Report will be copied and respective sections sent to each committee member.
Future committee meeetings will be scheduled on Monday at 3:00 (alternate: Wednesday at 3:00) assuming these times work for the members not present, and care will be taken to avoid obligations members have with other committees. Greg will meet with the members not present today.
Future meetings will be scheduled in the I.E. Office or Olin 240 or Courthouse 112 or the Honors Classroom.
